1. About this policy
I am Jordan Abel, the owner and operator of Abel Mentoring, based in Perth, Western Australia. This policy explains how I collect, use, store and handle personal information in connection with mentoring enquiries and sessions.
2. Information I collect
When you enquire, I collect information you provide such as your name, email, mobile number, age category, mentoring interests, preferred session arrangements and any optional message. For participants under 18, I also request parent or guardian contact details. If mentoring proceeds, I may collect information from questionnaires, conversations and session notes. Some information shared during mentoring may be sensitive, including information about health or wellbeing.
3. Why I collect information
I use information to respond to enquiries, discuss and arrange mentoring, understand goals and support needs, deliver sessions, document relevant progress and actions, communicate with participants and parents or guardians where appropriate, and maintain necessary administrative or safeguarding records. You may choose not to provide information, although I may be unable to respond or provide mentoring without essential details.
4. Collection and storage
I generally collect information directly from you through my website, email, questionnaires and mentoring conversations. For younger participants, information may also be supplied by a parent or guardian. Website enquiries are processed through Formspree (Free plan). Formspree provides a limited period of submission history under its plan settings; copies of submissions may remain with the provider according to its retention and deletion practices. The full enquiry details are also sent directly to my Gmail inbox, where they are stored as email correspondence. Following sessions, I may prepare summaries of goals, agreed actions and next steps. I email these summaries to participants using Gmail and keep copies in my private Dropbox Plus account. Copies may also remain in my Gmail Sent folder.
5. Security
I take reasonable steps to protect personal information from loss, misuse and unauthorised access or disclosure, including limiting who can access participant records and managing account and sharing security. No online or electronic storage system can be guaranteed completely secure.
6. Sensitive information and consent
Mentoring may involve sensitive topics such as health, wellbeing or personal circumstances. I aim to collect only information relevant to mentoring and to seek appropriate consent when required before collecting sensitive information. Please do not submit sensitive medical or mental health details through the website enquiry form.
7. Participants under 18
I require parent or guardian consent before mentoring sessions begin for anyone under 18 and aim to involve young people appropriately in decisions about their information. I respect the privacy of young participants and do not routinely share detailed conversations with parents or guardians. Confidentiality has limits, including where information may lawfully need to be shared because of serious safety concerns or legal requirements. I will explain these boundaries before mentoring begins.
8. Sharing and overseas processing
I do not sell personal information. I use Formspree (Free plan) for website enquiries, Gmail (my email provider) for enquiry correspondence and sending summaries, and Dropbox Plus for storing copies of post-session summaries. These services may process or store personal information outside Australia, including in the United States. I do not assume that information submitted through these services remains in Australia. I may also share information with consent or where required or authorised by law, including where legally permitted in response to serious safety concerns. I am continuing to review these providers’ processing locations and privacy arrangements.
9. Retention and deletion
I keep personal information only while it is reasonably needed for mentoring, administration, safeguarding or applicable legal obligations. I generally review enquiries that do not lead to mentoring after 90 days and delete them when they are no longer needed. I retain post-session summaries while mentoring is ongoing and review former participants’ records at least annually. Records involving young people, safety concerns, complaints or possible legal obligations may need to be kept longer. I will not delete such records until relevant retention requirements have been checked. When information is no longer required, I take reasonable steps to delete or de-identify copies I control, including relevant copies in Formspree, Gmail and Dropbox, where practicable.
10. Access, correction and complaints
You can email me to request access to or correction of personal information I hold, or to raise a privacy concern. I may need to verify your identity. I will review privacy complaints and aim to respond within 30 calendar days, or explain if more time is needed. Where the Privacy Act applies, you may be able to complain to the Office of the Australian Information Commissioner at oaic.gov.au.
11. Updates and contact
I may update this policy as my service or information-handling practices change. For questions, access or correction requests, or privacy complaints, contact jordanabelmusic@gmail.com. Website: abelmentoring.com.au.
